How to use guest profiles in the guest book

See notes, visits, orders, dietary preferences and no-shows for each guest.

The guest book is your list of guests. Superb creates or updates a guest profile automatically each time a guest books, online, by phone or by staff.

Open a guest profile

  1. Go to Reservations → Guest book.
  2. Search for the guest.
  3. Open the guest profile.

What a guest profile shows

  • Profile notes: Notes that follow the guest to every future booking
  • Booking and visit history: Past bookings, with date and number of guests
  • Order history: What the guest ordered on earlier visits
  • Dietary preferences: Preferences the guest added when booking online
  • No-show history: The number of visits and no-shows
  • Marketing: Whether the guest receives Guest Marketing emails

The three types of notes

  • Profile note: Written by staff on the guest profile. Shown on every future booking. Never shown to the guest.
  • Guest note: Written by the guest during booking. Applies to one booking.
  • Internal note: Written by staff on one booking. Never shown to the guest.

Add a profile note

Use profile notes for things staff should always know, for example allergies, table preferences or a favourite wine.

  1. Open the guest profile.
  2. Add the note in the notes or preferences section.
  3. Save.

Hover over a reservation to see a preview of the notes. All notes are on the Details tab of the reservation.

Good to know

Visit history only includes bookings linked to the profile. Merge duplicate profiles to see the full history. See How to create and merge guest profiles.
