How to create and manage events and experiences
Turn an experience into an event, sell tickets, and switch event mode off
An event experience runs on specific dates with its own time window and guest limits, for example a tasting night, a holiday menu, or a special seating.
What you need
- Access to your Superb Partner account
- Permission to open Settings → Online Reservations → Experiences in Partner
What an event experience is
A normal experience is bookable on your regular availability. An event experience is bookable only on the dates you set for the event, within the time window and guest limits you set for the event.
Turn an experience into an event
- Go to Settings → Online Reservations → Experiences.
- Open the experience.
- Switch on This is an event.
- Set the Date range — the day or days the event runs.
- Set From and To — the time window of the event.
- Set the Duration — how long one booking lasts.
- Set the minimum and maximum Guests per booking, and the total guest capacity of the event.
- Choose the rooms the event should be bookable in (optional).
- Click Save.
The matching availability is generated automatically when the experience is saved, and guests can book the event on the dates you set.
All event detail fields are required while This is an event is switched on, so the experience cannot be saved until every field is filled in.
Sell tickets for an event
Use a ticket event when you sell a fixed number of tickets instead of taking table reservations. A ticket event overrides your table plan, in the same way as selling tickets to a concert.
- Open the event experience.
- Tick Tickets event.
- Set Max bookings — the maximum number of bookings accepted for the event.
- Click Save.
Max bookings is required for a ticket event and must be a whole number of 1 or more.
Turn event mode off
- Open the event experience.
- Switch off This is an event.
What happens when event mode is switched off:
- The auto-generated availability for the event is removed, so no new bookings can be made.
- Existing bookings are not cancelled automatically. Contact support for help managing existing bookings.
- Rooms you selected for the event stay assigned to the experience. Remove those rooms manually in the experience settings if the experience should no longer be limited to them.
Fix the message "Cannot enable event mode"
The message "Cannot enable event mode" means the experience already has availability rules that were created manually, and generating event rules on top of those rules could cause unexpected booking behaviour.
Choose one of these options:
- Create a new experience for the event.
- Contact support to resolve the existing availability rules on the experience first.
Check or change the availability of an event
Go to Settings → Availability Settings to view and manage the availability rules generated for an event.
How rooms are assigned for an event
Guests cannot choose a specific table or a specific room when booking. Rooms are assigned by the restaurant at experience level, in the experience settings.
